How to View Drive Quota and Set Usage Alerts #
GAT+ allows the Google Workspace admin to view all the users’ Drive quota usage and the option to automate alert notifications to the Admins and end-users when quota reaches a certain threshold.
View users quota #
The admins can view each user of the domain and the quota used individually by each user, as well as apply many filters to find specific data.
Navigate to GAT+ > Users > Quota
View all the users and quota used by each user, filter by Quota used, Quota used for Drive, Quota used for Gmail, and Quota used for Photos.
Alerts for quota reaching a limit #
This alert is for the Quota used, which is a combination of the quota used for Drive, Gmail, and Photos
Navigate to GAT+ > Alert rules > (+ button) > Add rule
Fill in the details:
- Name – Enter the name for the rule
- Enabled – enable the rule
- Type – select Users
- Scope – select the users to whom the rule will be applied
- Notify when storage is exceeded
To configure the “Notify when storage is exceeded” alert:
- Storage in MB – enter value in MB
- % of the total quota, only useful for non-pooled storage
- Notify user – enter a message to be sent to the user who triggered the alert.
- Save – save the rule
Result shown in GAT+ #
When a user triggers the alert, it will be displayed in GAT+ > Alerts
Send Google Drive Quota Alert Emails to End Users #
If you select ‘Notify user’, GAT+ will automatically send an email to the user when their storage quota exceeds the set limit.
